Jangro clean up Savills plc procurement

Eager to take advantage of Jangro’s unique benefits, Savills plc approached Jangro Network Limited in 2014 to discuss the supply of janitorial and ancillary products after a recommendation from a current supplier.

Savills had never had a National Janitorial Supply Contract in place as previously it preferred to only use local UK businesses in line with its Corporate Social Responsibility policy. However Savills believed Jangro could potentially be a perfect fit, as the company provides a local delivery service covering the UK, Ireland and Isle of Man with the added benefit of centralised Head Office support.

Brief

Savills’ key requirements from Jangro included a national fixed package with centralised ordering, invoicing and management procedures as well as a local distributor they could rely on to support and work with their nationwide sites.

Another crucial element of the brief was to reduce costs across the whole estate as well as reducing Savills’ carbon footprint by introducing environmentally friendly products.

Savills’ existing structure meant that each of its sites was using different products from various suppliers so Jangro had to conduct essential site visits to share recommendations on products, best practice and training.

In addition to this, Jangro was tasked with undertaking a data collection exercise, which would then lead to collating a recommended standard core list of products, including Jangro’s popular Enviro Concentrates range.

Finally, Savills wanted to ensure its identity was retained for their staff and customers so requested the online ordering system and all documentation be “Savillised” i.e. dual branding to include the Savills logo and corporate colours.

Solution

To fully understand Savills’ requirements, Jangro representatives Cecelia Hubert, National Account Manager, Joanne Gilliard, Operations Director, and Ross Osborne, member of the Jangro Group, attended Savills Head Office where they could also meet the procurement team.

Here, Jangro delivered an in-depth overview of the Jangro Group – how the company works, its National Accounts service and support as well as the many benefits of working with Jangro as a national partner.

Demonstrations were given of the online ordering system, highlighting its budget controls and Site Manager functions as well as Jangro’s award-winning distance learning programme, Learning Management Solution.

The Jangro team also shared the additional value added services available to each of Savills’ sites including instructional wallcharts, QR code technology, informative training videos, animated product usage guides and marketing materials.

The biggest advantages for Savills were Jangro’s local member support and distribution and the high level of communications Jangro has internally to ensure an exceptional service.

Savills was particularly impressed with the Jangro IT infrastructure and its benefits, as well as the Learning Management Solution, which would ensure they were compliant while having the reassurance of quality, standardised training throughout all Savills sites. Jangro then created a dedicated website that incorporated corporate colours and hosts all of the bespoke support materials unique to Savills.

Following this, Jangro commenced a trial period with Savills starting with a large site based in Liverpool. Here the team presented the benefits of working with Jangro and supplied a range of sample products to try, including the Enviro Concentrates range. Feedback from this meeting came back positive leading Jangro to create its first core list of products for a Savills site, including alternatives to what the site already used with recommendations on how to reduce its purchasing list.

Savills asked Jangro to carry out a second trial, this time a full implementation – core product list, organisation of training and wall charts – for a site in Glasgow, Princess Square, allowing them to assess the process from start to finish. This particular site required a full overhaul of products, as its existing range was of a lower quality and extremely expensive.

The site’s Centre Manager was keen to continue to purchase products from its local supplier but following a site survey, carried out by Glasgow based Jangro member, D&E Products, a relationship was established leading to Jangro’s member presenting the full offering and producing a core product list which would fulfil all of the site’s requirements.

Jangro quickly accommodated the Centre Manager’s request to work directly with D&E Products, rather than via Jangro’s Head Office, allowing him to retain his local connections. D&E Products then independently relayed all orders and correspondence to Head Office.

Results

Following the success of both trials, Savills awarded Jangro with a three-year contract and has built its own Sav-e portal, containing a direct link to Jangro’s website for online ordering.

Site visits were then carried out by Jangro members local to all the specific sites and core lists were produced and reviewed as part of the data capture exercise. Monthly reports were requested by Savills to include total spend, spend by site, site progress reports and Google Analytics reports.

To ensure all Savills’ Regional Facilities Managers were aware and on board with the new contract, road shows were set up at Savills offices in London, Manchester and Glasgow. Cecelia Hubert was on hand to advise staff of the new contract and benefits, generating excitement amongst all the Facilities Managers.

Since the contract started on July 1st 2015, all site surveys have been completed with results from each site reported back to Jangro’s Head Office. Site specific core product lists were produced each showing significant savings while all Savills accounts were set up specifying unique delivery instructions for each site. Jangro ensured each site received starter packs and individual login details for online ordering.

Jangro’s National Accounts Manager, Cecelia Hubert, has recently been tasked with reviewing Savills’ housekeeping and washroom ancillaries for its prestigious sites. Jangro are also conducting site visits with key manufactures to produce sustainability reports, highlighting not only the reduction in cost but also the reduction in Savills carbon footprint since the introduction of the Enviro Concentrates range.

The Jangro and Savills partnership has gone from strength to strength with online ordering increasing monthly and site visits resulting in positive feedback. Jangro has committed to providing continuous improvement moving forward to ensure the achievement of ultimate customer satisfaction.
